Once your agent is connected to Gmail, you may want email summaries and notifications to land in a different inbox — your iCloud, Outlook, or Yahoo address. Because Gmail's mobile app doesn't support automatic forwarding, this is done through Gmail on a web browser. Here's the complete setup.
Before you start
Make sure you have both of the following in place before following the steps below:
- A Gmail account connected to VoiceForge Pro — go to Agent Edit → Integrations to verify this is done
- The email address you want to forward to (your iCloud, Outlook, Yahoo, or other address)
Use a web browser, not the Gmail app
The Gmail mobile app does not support automatic email forwarding. You must complete these steps in Gmail on a web browser — either on a desktop computer, or by requesting the "Desktop site" in your mobile browser's menu.
Setting up Gmail forwarding — step by step
1
Log in to Gmail in a web browser
Open mail.google.com on your computer, or on your phone with Desktop site enabled (tap the three-dot menu in your browser and select Desktop site). Sign in to the Gmail account connected to your VoiceForge Pro agent.
2
Open Settings
Click the gear icon ⚙️ in the top-right corner of Gmail, then click See all settings from the panel that appears.
3
Go to the Forwarding tab
In the Settings page, click the Forwarding and POP/IMAP tab at the top of the page.
4
Add a forwarding address
Click Add a forwarding address. Enter the email address you want Gmail to forward to — for example, your iCloud address ([email protected]), Outlook, or Yahoo address. Click Next, then Proceed, then OK.
5
Verify the address
Gmail sends a verification email to the address you just added. Open that inbox — your iCloud, Outlook, or Yahoo account — and look for an email from Gmail with a verification link. Click the link to confirm ownership of that address.
6
Enable forwarding
Return to Gmail's Forwarding and POP/IMAP settings tab. Select the radio button for Forward a copy of incoming mail to and choose the address you just verified from the dropdown.
7
Choose what to do with Gmail's copy
In the same row, choose what happens to the email inside Gmail after it's forwarded. Your options are:
- Keep Gmail's copy in the Inbox — email stays in Gmail and is also forwarded
- Mark Gmail's copy as read — forwarded and marked read in Gmail
- Archive Gmail's copy — forwarded and archived (skips Gmail inbox)
- Delete Gmail's copy — only exists in the forwarded inbox
8
Save Changes
Scroll to the bottom of the Settings page and click Save Changes. Forwarding is now active — all new emails to Gmail will also arrive in your forwarding address.
Testing the forwarding
Send a test email to your Gmail address from another account. Within a minute it should also appear in your forwarding inbox. If it doesn't arrive:
- Check your spam or junk folder in the forwarding inbox
- Confirm the verification step was completed — unverified addresses won't receive forwards
- Return to Gmail Settings → Forwarding and POP/IMAP and confirm forwarding is still set to Forward a copy (not Disable forwarding)
Turning off forwarding
To stop forwarding at any time, go back to Gmail Settings → Forwarding and POP/IMAP, select Disable forwarding, and click Save Changes. Your Gmail account will go back to receiving emails without forwarding them anywhere.
Forward to multiple addresses using filters
Gmail's standard forwarding sends all emails to one address. If you need to forward certain emails (e.g. only VoiceForge notifications) to a specific inbox while keeping everything else in Gmail, use Gmail Filters instead. Go to Settings → Filters and Blocked Addresses → Create a new filter, and set the action to "Forward to" with your chosen address.
